Restaurant POS Migration Checklist (2026)
Switching POS feels scary. It doesn't have to be. Use this checklist to plan every step and keep cutover day calm.
Whether you're leaving Square, Toast, Clover, Lightspeed, SpotOn, or TouchBistro, the steps are the same. Below is a checklist broken into 30 days before, cutover week, and after launch. Pair it with the full switching guide for the strategic context.

30 days before cutover
- Pull last 90 days of merchant statements — needed for ROI verification
- Export your menu (items, modifiers, modifier groups, prices, taxes, photos)
- Export your customer list (names, emails, phone numbers, loyalty balances if any)
- Export your tip-pool / tip-distribution rules
- Document your kitchen routing rules (which printer/KDS each item goes to)
- List every active integration (delivery apps, accounting, email marketing, etc.) and check which ones the new POS supports
- Identify your slowest weekday — that's cutover day
- Confirm contract status with current POS — will there be early-termination fees?
14 days before cutover
- Check your current effective rate (/calculator) and compare it with written quotes before you switch
- Review hardware compatibility — printers, scanners, cash drawers (ask which of your devices the new POS supports)
- Confirm your business bank account info for same-day payouts
- Schedule training sessions: closing shift the night before, opening shift cutover morning
- Notify staff of the cutover date and what to expect
- Plan to keep old POS active for 7 days as fallback
Cutover week
- Receive pre-configured PalomaPOS hardware — already loaded with your menu
- Set up kitchen display(s) with routing rules
- Decide how delivery-marketplace orders will reach the kitchen (PalomaPOS doesn't integrate with marketplaces today)
- Plan how daily totals reach your accounting (PalomaPOS has no automatic accounting sync today)
- Update your online ordering site, if you have one
- Test card processing with a small sale on each terminal
- Update your Google Business Profile and Yelp ordering link
Cutover day
- Closing-shift training the night before
- Have a PalomaPOS rep on a video call or on standby for opening shift
- Run the morning rush on the new system; old system stays plugged in as backup
- Watch ticket times during peak — reroute kitchen rules if needed
- End of day: reconcile total sales between old and new system
First week after cutover
- Daily: confirm same-day payout landed in your bank account
- Day 3: review the first batch of transactions for any discrepancies
- Day 5: collect staff feedback and adjust modifier groups, tip-pool rules, or kitchen routing
- Day 7: cancel old POS contract (if no early-termination penalty); keep hardware for safety
- Day 7: pull first PalomaPOS report and compare effective rate vs old POS
First 30 days after cutover
- Launch your loyalty program and start enrolling customers
- Decide whether a cash discount program fits your business
- Confirm online ordering volume returning to or exceeding old levels
- Review your first PalomaPOS-issued merchant statement
- Compare your new effective rate with the written quote
- If multi-location: schedule the next location's migration

FAQ
How long does a POS migration take?
It depends on your menu and equipment, and we agree on a go-live date with you up front. Schedule the cutover itself for a slow weekday morning.
What if my old POS contract isn't up yet?
Many operators start the new POS at one location first, then migrate the rest as old contracts expire. We help you plan the timing.
Will I lose my customer data or loyalty balances?
We import customer lists where the source system allows it. We confirm what can be moved from your current system before you switch.
Can I keep my old hardware?
Sometimes. PalomaPOS runs on supported hardware such as Valor VP800 terminals and Sunmi devices, and existing receipt printers can sometimes be reused. We confirm compatibility on the demo before you commit.
